This page will serve as an archives for emails which are sent out that are of significance.  If for some reason you might have missed an email, we will do our best to post emails from the past ____ (days, weeks, months) on this page that may be important to help you as best we can.

March 2, 2008 Subject: Double Checking Re: Coaches Passes for Districts

JUST DOUBLE CHECKING......

All coaches at Districts will need to check in to get their wristbands to be worn during districts.

All coaches will need to present a picture id at registration along with their deck pass from Glenda; with that done, the coach will get a wristband. From there, the coach must have the wristband and deck pass in clear sight throughout the weekend when he/she is on deck.

Please relay this to your fellow coaches.

There will be no exceptions to this.
February 29, 2008 Subject: Coaches Passes for Districts
Coaches:  remember you MUST bring and wear your East Field Pass (which came from Glenda Pae's office) at Districts next week.  This is the same pass you will be required to wear at states and nationals.

Subject: Time Trials: Friday, March 7

I just realized I'm a bit off on time trials for next week (on the web site), so I'll disseminate it this way.
 
Pool open for warmups at 3:00 (please, ONLY for those in time trials; this is NOT meant to be an open warmup for anyone who "wants to test the pool out).  If you do not register for a time trial, you are not permitted to use the pool. 
 
Deck seeding meeting at 4:30 for coaches.  Coaches should, upon arrival at the facility, see me as to what events their swimmers want to swim (don't wait to check in until 4:30!).  We will put together the event order at 4:30 and start at 5:00.
 
Time trials begin at 5:00.
 
Fee:  $5 per event
We WILL also run time trials after the Senior session on Saturday.

January 3, 2008 West PA YMCA Coaches:

PLEASE READ THIS WHOLE EMAIL AND SAVE!

The information pertaining to entries at the West District meet has been posted on the districts web site. Special thanks to Tom Warrick for his time, energy and efforts.

Both the West Districts and the District B meets entries will be done ONLINE!

It is very easy. Two coaches have actually entered one swimmer each (2 down, 999+ to go?) from their teams and it yielded the same results: "it's easy!"

Here's what to do:

FOR DISTRICTS

1. Go to the Districts web site home page: http://www.indianacountyymca.org/districts2008

2. Scroll Down, "Information for Coaches" (it's in red, it sticks out)

3. Save the Meet Event File: "Meet Event File for TM"

4. Click on: Electronic Entry Information/Web Site and you should be off and running.

(Please note: if you are not running team manager, you'll need to download a copy of TM-Lite; to do so, go to
http://www.hy-tekltd.com/downloads.html).

For anyone who has submitted entries for nationals, it IS the same process, so this will be very easy for you.

FOR B DISTRICTS:

1. GO TO THE Districts home page, look to the left for B Districts link and proceed from there, same as above.

SOME SUGGESTIONS:

1.
Go to the site and download the events, and enter a swimmer or 2 at districts. Do this NOW (or soon). Take time and have a dry run of sorts, practice, see how it works. You CAN enter multiple times. If you re-enter a swimmer at a faster time, the old one blows out, the new one takes over. When you have completed your entries, it will provide you with a report.
What I'm saying is, get yourself familiar with the process, do a dry run and enter a couple of swimmers today (or within a couple of days) and get a feel for the process) so that you know you will not have a problem come late February.

2.
If you have never entered swimmers at nationals, find a friend/coach at another Y and contact him/her if you have concerns or questions. Remember, we've compiled an email list which is listed on the web site, so you can peruse the districts web site email contacts list and you can send an email to a coach or two asking for help.

Coaches who are familiar with this process, thanks in advance for any help you can provide.

If you notice anything in error, please feel free to email me. Please do so asap!!

4.
If you really get in a jam, please feel free to call me. Try to not wait to call at 11:55 p.m. on Monday, February 25th (although I probably will be up until midnight that night to make myself available for questions for those who may have them at the last minute) in that entries are due at 11:59 p.m. on 2/25---you are hopefully getting a little chuckle right now. But you know what I mean!

January 3, 2008 YMCA WEST DISTRICT COACHES: PLEASE NOTE THE FOLLOWING SMALL CHANGE REGARDING THE DATE OF DISTRICT ENTRIES (Please put this in the category of "you learn as you go" and "the first year, you have to work the bugs out.").

We have moved the date of District entries from Friday, February 22nd to Monday, February 25th. I understand that State College is running a last chance meet on Saturday the 23rd, and novice championships are on the 24th. Consequently, entries will be due no later than Monday evening the 25th at 11:59 p.m.

This will give coaches who have swimmers qualify on the 23rd or 24th to still enter their swimmers.
December 20, 2007 Western PA YMCA Coaches, Districts Information Update/Officials and Backup Timers:

Coaches: A quick favor to ask. It's getting near the time we have to "put the word out" to request volunteers to officiate, and backup timers for Districts.

The Coordinator of Officials for Districts is Chuck Rochna-  cjrochna@verizon.net.  Questions regarding backup timers and officials should go directly to Mr. Rochna.

Please feel free to pass this email on to your whole team. I have attached in this email the form individuals should send in to Chuck if they are interested in officiating or timing. See the attachment.

December 5, 2007 West PA YMCA Coaches:

One additional thought that I forgot to mention yesterday in the email. We are planning a coaches social at the Holiday Inn Friday night before districts which will begin around 8/9:00 p.m. after time trials. We will ask for a small ($1/$2?) contribution toward offsetting the costs if you attend. All Coaches and Assistant Coaches are invited. Finger food/light snacks will be provided. Opportunities to order a full dinner "off the menu" (at your cost) will be available. You are "on your own" for what liquids you choose to consume, but a cash bar will be just a few steps away for those who like to "wash down" their food.

At a later time (probably late February) I'll send an email which you would reply to saying if you and however many assistants might be coming. We just want to get an idea, so if you say your are not coming but then attend, or you decide to decline after saying you'll come, either will not be a big deal. We just want to get a ball park guess of potential attendees to a social.  I don't want to order food for 50 and have 150 attend, nor do I want to order food for 150 and have 25 attend.

For now, plug that on to your list and verbally pass it on to your assistants that there will be a Friday night social. If not the Holiday Inn, somewhere!  Details will follow on the web site in the weeks ahead/after the first of the year.

West PA YMCA Coaches....For Your Information:

Times at districts will be verified by the proper authorities/meet officials for USS/AMS; we are working with administrators from AMS to have this done.  Complete details will follow around 1/1/08.  Check for future emails and the Districts Web site early next month for final details.

Details to follow on this, but mark your calendars.......we will run a principles course the day before districts, Friday March 7th.  It will probably go from 11-3 or 12-4.  
 
Bottom line is this....we will run a principles course that day prior to the Friday afternoon/evening time trials which we plan to run on the 7th.

BOTTOM LINE:  FOR DECK PASSES, CHECK AT THE Y, THE INFORMATION SHOULD BE THERE ALREADY OR WILL BE THERE REAL SOON.

Glenda just sent me an email regarding my earlier note introducing you to the Districts site. PLEASE NOTE that for the District meet itself, we will do it all via the web site. GLENDA WILL (or already has sent) provide information to all regarding deck passes for coaches to be used at Districts, States and Nationals that will come by mail (not electronic. You must compplete the work associated with the information that she sends to you and get it back to her if you want deck passes for stated meets.

Just wanted to clear this up per her request.

This will be the first of a few emails you will receive during the next few months pertaining to the West District YMCA Championships which will be hosted by the Indiana County YMCA in March.  . 
 
There are a couple of objectives in this email.

Please note that we will NOT be sending out anything to you via any type of a coaches packet.  Please note that we will be operating the same way as nationals and everything will be posted on the website which has been created for YMCA West Districts.  Please bookmark the site and share it with other coaches and parents. 
The West Districts Web site is:  http://www.indianacountyymca.org/districts2008/ .  There is information on the site for coaches, parents and everyone, so please "get the web site out there!" 
 
All coaches, PLEASE log on to the site ONCE, and then reply to me via email saying "J.B., this is ____(name)_____ from the __________ YMCA.  I have logged on to the web site and am confirming for you this fact."  This will only take a few seconds (do it upon finishing reading this email?).  If you do not log on, I will have to call your YMCA to make sure you know the site (so please, log on, check it out, bookmark it and then email me the confirmation).  Thanks in advance for your help on this.

I am developing a master email distribution list which is attached.  I am missing information on the following teams:  Brookeville, Clearfield, County, DuBois, Franklin, Jersey Shore, Oil City, Ridgeway, Titusville and Warren.  If anyone can email back to me and provide me with the name/email of the coach(s) of these teams, that would be greatly appreciated. 
 
If you are an incorrect contact, or if you need additional coaches to be on the email list, please reply with the appropriate names and email addresses.
 
Also, if you are listed on this memo/email distribution list and you are not coaching, if you wouldn't mind informing me of this fact as well I would appreciate it.  If you are no longer your team's coach, any information as to who is your successor would be great!!
 
And finally along these lines, if you have changed email addresses, or if you want email messages to more than one address, please feel free to contact me.

As of now, I am working with Tom Warrick to have you complete your entries the same way as we do for nationals.  For now, the paperwork reads that you will send them in, but watch for updates in the weeks ahead.  We are  trying to not only have Districts entries to be like nationals, but also B districts and maybe even the novice champs.  As stated, watch for updates on the website.

A key to a good web site is editing.  If you ever notice in the weeks or months ahead an error, please let me know.  I always say I usually get the first 99.5% right, but every now and then, an "ooops" always can occur.  Any help in the days and weeks ahead will be greatly appreciated.
